You fed a stack of paper through the office scanner, or photographed it page by page with a scanning app, and the PDF that came out is a mess. The last page is first. Two pages are on their side and one is upside down. Every second page is an empty white sheet. Scanning it all again is tempting, but it usually gives you the same result.
The good news: all of this can be fixed in the file you already have, in a few minutes, in your browser. This guide goes through it in the order that saves the most effort: empty pages first, then the order, then the pages facing the wrong way.
Why scans come out messy
Knowing the cause helps you fix it faster, and avoid it next time.
- Backwards order. Many sheet feeders take the page on the top of the pile first, and some save the pages in the opposite order to the one you expect. Loading the pile face up instead of face down has the same effect.
- Empty pages. Double-sided scanning of single-sided paper captures the blank back of every sheet. You end up with a white page after each real one.
- Sideways and upside-down pages. A landscape page in a stack of portrait ones, a sheet put in the wrong way round, or a phone held at an angle. Phones also record which way they were held, and that note is sometimes wrong when the phone was flat on the table.
Step 1: Remove the empty pages
Start here, because every page you remove is one fewer to check in the next steps.
- Open Remove blank pages and choose your file.
- Wait a moment while every page is looked at. Pages that look empty are picked for you.
- Check the pick. Click any page to add it or leave it in. The number under each page shows how much of it is written on.
- If too many or too few pages were picked, change How empty is empty? between Completely, Nearly and Mostly.
- Press the Remove button, which shows how many pages will go, then download your file.
The tool judges pages by how they look, which is the only thing that works for scans. Scanner specks and the dark edge along a scanned sheet are ignored. The percentage under each page makes a page with only a faint mark or a fold shadow easy to spot, and whether it goes stays your choice. Nothing is removed until you press the button.
One honest limit: it cannot tell an accidental blank page from a deliberate one, such as a separator between chapters. Keep those in by clicking them. And if you want to remove a page that is not blank, for example a sheet you scanned twice, use Delete pages, where you pick pages by hand or type their numbers, such as 4, 7.
Step 2: Put the pages in order
There are two kinds of wrong order, and each has its own tool.
The whole file is back to front. The last page is first and the first is last. Open Reverse page order, check the preview, which shows the new order, and press Reverse the order. One click fixes the whole file.
A few pages are in the wrong place. Open Rearrange pages and drag each page picture to where it belongs. On a phone, use the arrows under each page instead, which move it one step at a time and are easier than dragging on a small screen. This tool also has a Reverse order button, handy when a file is backwards and has a few pages out of place. Press Save new order when you are done.
The tricky case: fronts and backs scanned separately
Some people scan double-sided paper in two passes on a single-sided scanner: all the fronts, then the pile turned over for all the backs. The result is pages 1, 3, 5 and so on, followed by the even pages, often in reverse. None of our tools puts these back together automatically. For a short document, dragging the pages into place in Rearrange pages works fine. For a long one, it is often quicker to scan again with the scanner’s double-sided setting, if it has one.
Step 3: Turn the sideways and upside-down pages
- Open Rotate PDF and choose your file.
- Click a page to turn it a quarter turn to the right. Use the small buttons under each page to turn it either way. Click an upside-down page twice.
- If every page is wrong in the same way, use Turn all left or Turn all right.
- Press Rotate pages, then download your file.
The new direction is saved in the file itself, so the pages stay the right way up when the file is opened on another computer, printed or emailed. Turning the view in your PDF reader only changes it for you.
Check the result before you send it
Open the finished file and scroll through every page. A few things are worth a second look:
- Printed page numbers do not change. If the pages show numbers and you removed or moved some, the printed numbers may now be out of sequence. Add page numbers can put fresh ones on, in a corner or margin you choose.
- A printed table of contents still lists the old page numbers. Links and bookmarks inside the file follow their pages when you reorder, reverse or rotate, but one that pointed to a page you removed no longer leads anywhere.
- The file size. Scans are large. If the file is over an upload or email limit, Compress PDF makes the pictures in it smaller and shows the real size before you download.
What these tools cannot fix
It is better to know the limits before you start:
- A slight slant. Pages turn in quarter turns only. A page fed in at an angle stays at that angle.
- Dark edges and scanner shadows. Crop PDF can hide a border by trimming the visible area, but the hidden part is still inside the file, so do not rely on it to hide anything private.
- Blurry or dark pages. Nothing here makes a page sharper or lighter. Scan that page again, then put it in place with Merge PDF and Rearrange pages.
- Searchable text. A scan is a set of pictures of pages. None of these tools turns it into text you can select or edit.
Avoid it next time
- Check which way your scanner wants the pile: face up or face down, top edge first. A small picture on the feeder usually shows it.
- Use single-sided scanning for single-sided paper, and double-sided only when the backs have writing on them.
- On a phone, hold it flat and straight above the page, and check the preview before you scan the next sheet.
